ChatNotr Privacy Policy
ChatNotr (“we,” “our,” or “us”) is committed to protecting your privacy and ensuring transparency about how your data is collected, stored, and used. This policy explains what information we gather, how we process it, and the safeguards in place to protect you.
By using ChatNotr, you agree to the practices described here. If you do not agree, stop using the app and contact us at chatnotr@nlsa.uk to request account deletion.
1. Data We Collect
We collect only the minimum data necessary to operate our service. For example:

Email address – for subscription and account management

Subscription status and payment information – processed securely by our payment provider
Additionally, we do not collect extra personal information without your consent.
2. Data Stored on Your Device
Importantly, all your data is stored locally on your device. This includes:

Notes, appointments, tasks, and checklists

Chat conversations with the AI assistant

App preferences and settings
Therefore, you retain full control, and ChatNotr cannot access or recover deleted local data.
3. AI Chat Processing
When you use the AI chat feature, messages are transmitted securely to OpenAI for processing. This is necessary to generate AI responses.
OpenAI ensures that:

It does not train AI models on your conversations

Data is encrypted in transit (TLS 1.2+) and at rest (AES-256)

You retain full ownership of inputs and outputs
Moreover, conversations with the AI are private and not used for marketing. However, if you prefer extra privacy, you can save sensitive information manually in the app, without involving the AI. Later, the AI can retrieve the information without accessing or learning your stored data.
4. How We Use Your Data
We use your data solely to provide ChatNotr services. Specifically:

To identify you as a subscriber and manage your account

To verify membership and provide premium features

To process chat input with the AI provider and return responses
Additionally, we never sell, share, or rent your personal information for marketing purposes.
5. Data Storage and Security

Email and subscription information is stored securely on our servers according to UK GDPR

Notes, tasks, and appointments remain on your device only

We apply industry-standard encryption and access controls for all stored data

Therefore, if your device is lost or data is deleted, we cannot recover it. You are responsible for backups
6. Third-Party Services
ChatNotr does not share your email, subscription data, or locally stored notes with any third parties. The only exception is OpenAI for AI chat processing (see Section 3).
7. User Responsibilities and Acceptable Use
You agree not to misuse ChatNotr, including:

Sharing unlawful, offensive, or defamatory content

Attempting to reverse engineer or interfere with AI systems

Relying on AI responses as professional, medical, legal, or financial advice
Additionally, all AI output is informational and should not replace human judgment.
8. Disclaimer of Warranties
ChatNotr and its AI features are provided “as-is” and “as-available”.
Moreover, we make no guarantees regarding accuracy, reliability, or suitability of AI responses.
All implied warranties, including merchantability, fitness for purpose, and non-infringement, are disclaimed.
9. Limitation of Liability
To the fullest extent permitted by law, ChatNotr and its affiliates shall not be liable for indirect, incidental, or consequential damages, including loss of data, profits, or goodwill, arising from:

Your use or inability to use the app or AI services

Content generated by the AI assistant

Unauthorized access, security breaches, or user negligence
However, if liability is established, our total liability is limited to the subscription fees paid in the last 12 months.
10. Indemnification (Mutual Protection)
Mutual protection ensures fairness:

By Users: You agree to indemnify ChatNotr and affiliates for claims arising from your use or violation of law

By ChatNotr: We indemnify you for losses caused by our proven negligence or unlawful data processing
11. Children’s Privacy
ChatNotr is not intended for users under 13.
We do not knowingly collect personal information from children.
If a parent believes a child’s data has been submitted, contact us for deletion.
12. Your Rights
Under UK GDPR, you have the right to:

Access, correct, or delete your personal data

14. Governing Law and Jurisdiction
This policy and your use of ChatNotr are governed by the laws of England and Wales.
All disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
